Privacy statement

Wijze Wolf Dog Services walks dogs, looks after them and gives advice on dog behaviour. That comes with a certain amount of data: about you and about your dog. Below you can read which data that is, why we need it, how long it stays on record and what you can do about it. In plain language, because a privacy statement you cannot understand is of no use.

We decide what happens to this data, which makes us responsible for it.

When we record something about you

On three occasions and no others:

  • when you fill in the contact form;
  • when you sign your dog up for a walk, boarding or a consultation;
  • when you let us put your review on the site.

You can look around the site without us recording anything about you. We have no visitor counter and no advertising code.

The contact form

You fill in your name, your email address, your phone number if you wish, and your message. That is not stored in the website. It goes straight to Sanne as an email and then stays in her mailbox, just like an ordinary email you would send yourself. We use it to answer your question.

Signing up for the calendar

If you sign your dog up, we need more, because we are making a booking with you:

  • About you: first name, surname, email address, phone number, postcode and house number. We need the address in order to pick up and drop off.
  • About your dog: name, breed and whatever we need to know to look after them properly. That last one is a free text field. Put in there what really matters, for example medication or the fact that they are startled by cyclists. Whatever you type there we keep, just like the rest.
  • About the booking: which days your dog comes along, which walks have taken place, whether a cancellation was made and what reason you gave for it. Also how many credits are left on your pass.

We use all of this to carry out the booking. Without this data we cannot pick your dog up and cannot put them in the schedule.

A review on the site

If we put your review on the site, your first name and your town are shown with it. We only do that if you say yes to it yourself. A piece like that is public on the internet, so anyone can read it. If you want it taken down later, let us know and we will remove it.

Messages you get from us

There are two kinds.

About your own bookings. A confirmation, a reminder that the free cancellation period is almost over, a message that a day is not going ahead. Those are part of the service and we keep sending them for as long as you are a customer.

General messages, for example that Sanne is away on holiday for two weeks. At the bottom of a message like that there is a link to turn them off. You do not have to phone or email for that, one click and a confirmation is enough. Messages about your own bookings will keep coming as usual.

Your personal link

Our emails contain a link with which you can view and cancel your own walks, without a password. That link is the key: whoever has it can see your first name, the names of your dogs, your upcoming bookings and your credit balance. They can cancel as well. So do not forward it and do not put it in a group chat.

If you have lost it or something does not feel right, let us know. We will then set up a new one and the old one will stop working. That is done by hand; there is no button with which you can do it yourself.

If you do not have that link to hand

Then enter your email address on the My walks page. If we have that address on file, we send you a new link. It never lets you in directly: access always goes through your own mailbox. What appears on screen is the same for everyone, including when we do not have the address at all, so nobody can use this route to work out who is a customer here.

To stop anyone sitting there trying, we limit how many requests can be made per email address and per internet connection. We do not keep a readable address of such an attempt, but an encrypted value derived from your email address or from the IP address. That derived value still counts as data about you. After a day it is gone.

How long we keep it

Who else sees it

We do not sell anything on and we give nothing to advertisers. But there are parties that unavoidably come across your data:

  • OVH, where the website and the mailbox run. They keep the data on their servers and maintain access logs of the web server. We have no insight into exactly what is in those or how long OVH keeps them.
  • Your own email provider. Every message we send arrives at the party where you have your email. If you are with Gmail or Outlook, that is an American company and your data therefore goes that way. We have no influence over that; the same applies to every email you get from anyone at all.
  • The bookkeeping. We draw up invoices outside this website. They show your name and the services you have taken.
  • OpenStreetMap, but only if you click on the map on the contact page yourself. If you do not, nothing is sent there.

Cookies

The site sets one cookie, and only when you open your own walks: a temporary cookie that lasts an hour and remembers that it is you, so that the key does not have to stay in your address bar. Close the browser and it is gone. We do not have to ask permission for that, because without that cookie the page does not work.

If you log in as an administrator, WordPress sets its own cookies. That is about Sanne, not about visitors.

What we do not do

This list is shorter than on most sites and that is on purpose:

  • No Google Analytics and no visitor counter of any kind.
  • No Facebook pixel and no advertising code.
  • No fonts from Google. They are on our own server.
  • No profiles, no automated decisions and no selling on.
  • No third-party newsletter service. Our email goes straight from us to you.

Apart from that, the site loads nothing from another party. Only that map on the contact page, and not until you have clicked on it.

Photos of your dog

Our Facebook page carries photos of dogs that walk or stay with us, and they may end up on this site too. We take them ourselves while we work. A dog is not a person, so a photo like that is not personal data, but it is still about your dog. That is why we set out here what we do with it.

We never put an owner’s name beside a photo, and no addresses either. From every file we strip the hidden data a camera writes along with it, including the place where the picture was taken. If a recognisable person is in the shot, we ask them first. And a photo you send us is yours: we use it only if you tell us we may.

Would you rather your dog was not on there? A message is enough. You do not have to explain why, and it comes off, even if it has been up there for years.

What you can ask for

You may always:

  • see what we hold about you. You then get a file with your details, your dog, your regular days, your bookings and your walk pass with all the entries behind it;
  • have corrected whatever is wrong;
  • have deleted whatever we no longer need. What stays on record are the dates and amounts of services carried out, because those are part of the bookkeeping. Your name is no longer attached to them after that;
  • object to what we do, or ask us to pause the processing for a while;
  • take your data with you in a file you can use elsewhere.

An email to info@wijzewolf.nl is enough. You get an answer within a month. Changes and deletions are done by Sanne by hand; there is no button on the site with which you can arrange it yourself.

If we cannot agree, you can complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens, autoriteitpersoonsgegevens.nl. Naturally we would rather hear about it ourselves first.

If something goes wrong

If data is lost or ends up with someone who should not have seen it, we let you know as soon as we notice it and it affects you. We then also report it to the Autoriteit Persoonsgegevens.
